Identify the change to the production schedule
Give the current agreed hire dates and the revised dates requested. Explain whether production was delayed, quantities increased, another campaign was added or the return plan changed. Include the machine reference and the person responsible for the enquiry. A general request for another week may leave uncertainty about when equipment is needed for setup, saleable production and return preparation.
Check whether the application has also changed
Describe new products, packaging sizes, closures, labels or film and provide their specifications or samples where appropriate. Identify whether the proposed work uses the same tooling and operating basis. An extension of time is not automatic approval of a new application. Ask for review of suitability and any additional trial, setup or support needed before the equipment is used for the changed task.
Revisit output and remaining production time
State the acceptable finished quantity still required and the usable production window. Include planned product changes, cleaning, replenishment and operator availability. If the run was interrupted, report the observed circumstances and support actions. Extending a calendar period does not by itself resolve a bottleneck or equipment issue; the updated enquiry should explain what the remaining operation needs to achieve.
Confirm revised return and cleaning arrangements
Identify the proposed final product, shutdown work, cleaning and accessory reconciliation before collection. Check who will arrange handling and whether the access route or site contact has changed. Keep the new return schedule separate from the last operating day. Ask what information the supplier needs to assess the revised handover and whether any existing preparation instruction must change.
Keep the accepted extension in writing
Confirm the equipment, dates, included support, revised charges and obligations that apply to the extended period. Record any limits on the approved product or formats. Do not assume continued possession confirms availability or the revised terms. Keep the accepted instruction with the rental record so your production, engineering and logistics contacts use the same plan for the remaining run and equipment return.
Information to include in your enquiry
- Current machine and rental reference
- Existing and requested hire dates
- Remaining quantities and production window
- Changed product or packaging details
- Support and tooling requirements
- Revised cleaning and return plan
Send the information you have and identify any details still awaiting confirmation. The team can review the outline and explain what else is needed to assess the actual project.

| Planning point | Record to supply | Decision to settle |
|---|---|---|
| Time | Current and requested date range | Has continued availability been confirmed? |
| Application | Product and pack changes | Does the same approval still apply? |
| Output | Remaining acceptable finished quantity | What limits the remaining run? |
| Return | Cleaning, inventory and collection | Are the revised arrangements practical? |
| Agreement | Dates, charges and scope in writing | Which terms apply to the extension? |
Common questions
Can I extend a packaging machinery hire?
Ask the supplier to review the machine availability and revised dates. Provide the rental reference and any changes to the application or return plan. Continue under the extension only when the revised arrangements are confirmed.
Does a longer hire let me run another product?
Describe the new product and complete pack so suitability can be reviewed. Existing tooling, cleaning instructions or trial evidence may not cover the change. Confirm the approved application separately from the extension dates.
